Position Overview
A downtown Chicago law firm is seeking a motivated, dependable Administrative Assistant to join its team. This is a broad, hands-on role for someone who enjoys variety, takes initiative, and is comfortable handling whatever needs to be done to keep the office and attorneys organized and moving forward.
The ideal candidate will be independent, self-driven, highly organized, and willing to take ownership of projects without needing constant direction. This could be a great opportunity for someone early in their career, including a recent college graduate, who wants exposure to many different areas of a professional office environment.
There may also be an opportunity for this person to provide higher-level administrative and executive support to the firm’s leadership and a senior attorney.
Responsibilities
Responsibilities may include:
• Providing day-to-day administrative support to attorneys and office leadership
• Managing calendars, scheduling, meetings, and general coordination
• Preparing, formatting, proofreading, and organizing documents
• Assisting with correspondence, presentations, reports, and other materials
• Helping create and update employee handbooks, procedure manuals, and internal documents
• Assisting with marketing-related projects and firm initiatives
• Coordinating projects and following up on outstanding items
• Organizing files, records, and office materials
• Handling general office needs and administrative projects as they arise
• Supporting leadership with a wide variety of business and operational tasks
• Taking ownership of special projects from beginning to completion
Qualifications
• Strong organizational and time-management skills
• Excellent written and verbal communication skills
• Comfortable managing multiple priorities at the same time
• Self-motivated and able to work independently
• Strong attention to detail
• Professional, dependable, and willing to take initiative
• Comfortable working in a fast-paced professional environment
• Proficiency with Microsoft Office, including Word, Outlook, Excel, and PowerPoint
• Bachelor’s degree
• Previous administrative, executive assistant, legal, marketing, or professional office experience is a plus
Ideal Candidate
The firm is looking for someone who does not need every task spelled out for them. This person should be comfortable identifying what needs to be done, jumping in to help, and managing a variety of responsibilities.
Someone who describes themselves as organized, resourceful, independent, flexible, and willing to wear multiple hats would fit well in this position.
